KITCHEN HELP COORDINATOR
When you call for kitchen help, please instruct them that this will involve serving the meal, doing the
dishes and any clean-up and setting-up for the next meal.
Setting up for the next meal may involve changing the table arrangement and changing table decorations
as well as setting the tables as completely as possible.
The number of people you will need to enlist will depend on:
1. The meal itself and how it will be served (by plate, buffet, etc.).
2. The number of people you are serving.
3. Whether or not there is a dishwasher available or you are going to serve on paper products.
Begin enlisting helpers at ultreyas, reunion groups, closings and tell them that you will call to remind
them.
When you call to give the reminder, stress that mealtime is a special time for the team and candidates to
get to know each other in a more relaxed atmosphere and to please limit conversation to getting them
anything they need. It’s not a time to “see how it’s going” for their candidate s or best friend who is on
the team. When you see someone you know, give a wink and a smile. That’s better than “giving away”
the identity of a team member. Also, although hugging has probably become a large part of your life by
this time, the candidates may not be ready for it yet.
It is also important to remind kitchen help to arrive early to receive their instructions from the cooks on
last-minute preparation and how the meal is to be served. There should be no reason why the cooks and
coordinators cannot sit down and enjoy the meal with the rest of the team and candidates.
If you choose to set aside a specific meal for past-rector/esses to serve, be sure they are contacted.
Don't just expect them to show up.
It is most convenient for the cooks if you post a schedule of kitchen help and their phone numbers in the
facility kitchen in case of schedule changes. Keep a copy for yourself for your reminder calls. It works
best to make those calls the day before those signed up are scheduled to serve.
Another suggestion is to have meal “team captains” in charge of enlisting help and doing reminders. But
remember, it is your responsibility that the job be done.
The following is a nice letter that could be put on a poster and taped to the refrigerator or kitchen door
for all the help to read before they get their instructions from the head cook.

WE WOULD LIKE TO THANK YOU SO MUCH FOR TAKING TIME OUT OF YOUR BUSY SCHEDULES
TO DO THIS “PALANCA” FOR US. WE DO HAVE ANOTHER FAVOR TO ASK OF YOU. MEALTIME IS
OUR TIME TO GET TO KNOW AS MANY CANDIDATES AS POSSIBLE IN A MORE RELAXED
ATMOSPHERE. WE WOULD LIKE NOTHING BETTER THAN TO GIVE YOU AN ABRAZO AND TO
TELL YOU HOW THE WEEKEND IS GOING, BUT THAT COULD ALSO “GIVE US AWAY”. SO, IF WE
JUST WINK AND SMILE, PLEASE KNOW THAT WE LOVE YOU AND THANK YOU SILENTLY FOR
YOUR PRESENCE.
